Volunteer Information: Role descriptions and anticipated commitment time

  1. Track roles
    • Starter: The starter is responsible for beginning every race by firing the starting gun.
    • Starter's assistant: Assist with organizing participants at the start line. Explain the rules of the race to each heat of participants (start before the line, do not start before the gun, ensure shoes are tied, stay in your own lane).
    • Heat organizer: These volunteers organize participants by their heats and keep them organized to ensure athletes compete at the proper time in the correct heat.
    • Hurdle retriever: During the hurdles race, the hurdles can be knocked over and need to be reset for the next race as quickly as possible.
    • Finish line: Volunteers at the finish line are responsible for organizing participants at the end of their race and directing them to the appropriate exit after their race.
    • Relay team organizer: There are four athletes in each team of the relay. These athletes need to be organized in their correct order and understand when it is their time to pass the baton. Athletes must be promptly escorted away from the relay exchange zone after completing their run and passing their baton off.
  2. Field roles
    • Chief: The chief is in charge of each station and is responsible for reading the measurement of a jump or throw to be recorded.
    • Participant organizer: Athletes need to get organized into their respective sections and they need to remain in order throughout their competition.
    • Measurement taker: After an athlete jumps or throws, how far they went will need to be measured and recorded.
    • Retriever: Collect the ball (over head throw) or javelin after the participant has thrown to return back to the next flatlet competing.
  3. Other volunteer roles:
    • Volunteer support: The head volunteer coordinator can direct volunteers to their appropriate station, providing them with their volunteer vest and any additional information regarding their volunteer position and commitment.
    • Bib pick up and awards: This person is responsible for giving out bibs to the appropriate teacher or athlete, as well as remaining at the awards table to give out the appropriate awards to participants.
    • Data entry: A person is required to input the results from the field events into a spreadsheet so awards and results can be done efficiently.
    • Announcer: The announcer ensures the competition runs on schedule by making calls for each event, guiding participants to their competition starting area, and announcing awards and other important information (looking for a teacher/parent/athlete).
  4. Commitment time
    • Morning session: Arrive between 8 and 8:30 am, depending on your role, and finish around 1:30 pm. Lunch will be provided.
    • Afternoon session: Arrive by 1:30 pm and finish by 7:00 pm.

  5. What do I bring/wear?
    • Wear comfortable footwear, as you will likely be standing or walking for the majority of the day. Lunch will be provided, but we encourage you to bring water and snacks.
